
Are people looking for a link or an explanation?
A teammate needs to prepare a client report. The spreadsheet contains a “reporting” row and a document link, but the document does not establish whether the instructions still apply. Someone else has created a Notion page. The team now has two libraries and the same unanswered question.
Choose between a spreadsheet and Notion around what people need to find. A spreadsheet suits short records and links that need sorting or filtering. Pages suit procedures that need explanation, examples, and related steps. Moving content into Notion will not supply a missing owner or current version.

Keep a spreadsheet when the index is enough
Use a spreadsheet when each row provides a brief standalone answer or a link to an existing authoritative procedure. A list of locations, responsible people, and review dates does not need a separate page per row. Its value is finding the right entry.
Create columns for question, short answer, applicable source, responsible person, and next review date. Phrase questions as colleagues ask them: “How do I correct the wrong reporting month?” is easier to use than “Processes 2.0.” Link to a long procedure rather than fitting it into one cell.
Google Sheets filter views let people select, for example, their team’s procedures. A view does not restrict access to the other rows. Separate restricted knowledge using actual permissions.
Use developed pages when the explanation matters
Consider Notion when readers need context and several connected steps in one place. A reporting page can hold its purpose, inputs, procedure, validation example, and error-handling route. The index leads to the answer rather than replacing it.
On a suitable page, open ••• and choose Turn into wiki. Notion wikis organize pages and owners; this action does not turn a database into a wiki. Start with a small set of actual procedures. A decision log, contact list, and guide need not share one structure.
Verification depends on page type and plan. For example, verification properties in ordinary databases require Business or Enterprise. If unavailable, use a visible review date and responsible person. A useful library does not require a paid verification badge.
Repair one answer first
Fictional example: the team needs instructions for a report with missing days. One page identifies who checks the source, how the incomplete period is labeled, and who decides whether the report can be sent. That page becomes the applicable source; the old note points to it and is marked superseded.
Give the page a content owner and a reason for rechecking it, such as a source-tool change or discovered error. An illustrative review date three months away only helps if someone takes responsibility. A date cannot repair outdated guidance by itself.
Check access on the destination and its parents. Notion combines inherited and other granted permissions. Hidden properties or views do not reliably separate internal material from clients. Public publishing is a separate decision from creating a team library.
Compare three ordinary questions
Prepare the same information as an index and a developed page. Without showing the route first, ask a teammate to find the current procedure, identify the person handling an exception, and explain what changed since the previous version. Record whether they found the correct answer, where they went astray, and how much explanation they needed. The download leaves results blank.
Keep the index if it leads readers to correct answers. Use developed pages when a spreadsheet disperses a necessary explanation across many links. A mixed setup works when the index points to one current procedure; it should not maintain another copy.
Include upkeep, access management, and removing old duplicates in the cost comparison. Begin with five needed answers in existing tools. Expand around information people cannot find or use. For customer-work records, use the separate email, spreadsheet, or CRM decision.
