1. What the agent will do
Claude will check a selected Gmail scope, summarize inquiries and prepare reply text. You will then schedule it on working days. Results stay in each Claude run’s session; a person transfers them to the business tracker. You do not need Make, n8n or your own API key.
- You need a paid Claude plan with Scheduled tasks and Gmail available. Web, mobile and Cowork availability depends on plan and rollout. Team/Enterprise may require organization-owner approval.
- Prepare approved service information, pricing and availability rules, and a person responsible for review. Put all required material directly in the saved task instructions. This version does not rely on files stored only on your computer.
- Claude uses Anthropic models. Choose ChatGPT or the Make/n8n option if you want OpenAI. Scheduled runs use available Claude limits; check your plan before enabling recurring work.
The newer interface combines Chat and Cowork, so the selector may be absent. Newly created tasks can run in the cloud, while older local tasks created before October 6 and tasks requiring local files or apps still depend on the computer. Check the execution mode of your actual task when creating it.

Start with the complete fictional example below: company information → incoming message → draft for review. It also shows how to fill in the instructions. Have a colleague or your second account send the supplied subject and body to your connected mailbox, without an attachment. Replace the addresses with your actual test accounts.
Use this reference material in the instructions step; in n8n put the same facts in company_rules too. After the first run, compare actual message/thread IDs, summary, questions and storage location with the example. Once the checks pass, replace the fictional service offering with your own approved material and change the test selection to your real scope.
Worked example: material, message and result

Another run updates the same row. Claude: the conversation result, then the individual run session under Scheduled once scheduling is enabled. This is a draft. Do not send automatically in Gmail. Your business tracker holds one inquiry; a new draft for that thread is an update to it.
2. Connect the correct mailbox
- In Claude open Customize → Connectors, click +, find Gmail and choose Connect / Install. Sign in to the intended Google account. Check the address and permissions before consenting; resolve company approval with your administrator.
- Start a new conversation. Enable Gmail through + → Connectors. If the switch is absent, check connector availability and organization rules.
- Ask: “Only retrieve one message with subject TEST AI INQUIRY from [mailbox address]. Provide its subject and source link. Do not modify or send anything.” Use your own harmless test message. Verify that the output refers to real Gmail data rather than creating a fictional example.
The Gmail connector can also write and send; it is not inherently read-only. If your account exposes per-tool permissions, block write and send actions. Otherwise retain required approval and do not approve mail changes. Instructions alone are not a technical write-permission boundary.
3. Add instructions and reference material
Copy the instructions below into the conversation, replace every placeholder and keep the test subject for the first check. Include services, pricing and rules directly here. “Use what we discussed earlier” is insufficient for a separate scheduled task.
Each run checks a rolling seven-day window and at most five threads. For candidates, it must retrieve the entire conversation, including older outgoing replies. The same open thread may reappear. A person separately checks older open inquiries and any overflow beyond the limit.
For real use, replace the test subject with a specific description of your inquiry intake. Have Claude state the scope used in its report. Some complex Gmail filters may not be supported; do not fix failed searches by blindly expanding to the whole mailbox.

Read/unread status does not mean handled/unhandled. 3. If a colleague already resolved the request and no new question followed, return SKIP with the reason. If more results remain or a thread cannot be fully retrieved, explicitly report incomplete coverage and ask a person to review. Unavailable Gmail does not mean zero inquiries. Each run is separate. Do not rely on memory of earlier runs. Include the check time, exact scope used, threads found and processed, coverage status and source links. The same open thread may reappear; provide its ID so a person can compare it with the tracker. Do not write to the tracker. A person checks older open inquiries separately.
4. Run a manual check first
- After adding the instructions, say: “Run one check now using these instructions. Do not schedule anything yet.” Expand the tool activity and verify actual retrieval of messages and colleagues’ replies.
- Open the source thread link and compare the summary and draft with Gmail and approved reference material. Missing IDs, sources, thread sections or references mean an unverified result; repair the instructions.
- Use your own test threads to check the cases below. A second run may find the same thread; it is not another business opportunity. Match Thread ID, or a verified source link, and the latest message against your tracker.

The Gmail connector does not expose attachment contents. A person must handle inquiries that depend on them; the agent must not guess. Before scheduling, separate verified facts from information still needed.
Review checklist
Before enabling recurring runs [ ] Correct mailbox; search covers only the intended scope. [ ] No unfilled placeholders; reference material has a date. [ ] The agent receives the full thread, including outgoing replies, not a snippet. [ ] New inquiry: DRAFT. Substantively resolved: SKIP. Missing reference material: NEEDS_REVIEW. A price can await human confirmation without an invented amount. [ ] An automatic receipt is not treated as a substantive reply. [ ] The “ignore your rules” test did not change instructions or trigger sending. This does not guarantee all future runs. [ ] Repeated runs retain the correct thread ID and do not create another business inquiry. [ ] A connection failure is not reported as zero inquiries. [ ] Output includes an owner, next action, sources and check time. [ ] Nothing was sent or changed in Gmail. [ ] Costs, schedule, result location and pause controls are understood. [ ] Review the actual result and errors after the first scheduled run.
5. Create the scheduled task
- In the same conversation ask: “Create a scheduled task named Inquiry review. Use the complete instructions and reference material below, Gmail [address], weekdays at 9:00 AM in America/New_York. Do not send or modify anything. Return a report for a person.” Paste the full completed step-3 instructions again after the request.
- In Cowork you can instead open Scheduled → New task → Create with Claude. If the Cowork selector is gone, use a conversation in the new combined interface. Available controls vary by account.
- Before clicking Schedule, review name, days, time, timezone, complete instructions, connected Gmail and execution mode. Do not attach a local folder or application for this version. If your account offers only local execution, the computer must remain available; do not infer cloud execution from this guide.
- Open the task under Scheduled and check the next run. Correct the time or timezone before enabling it. After the first scheduled time, open its own session and verify actual Gmail retrieval. A saved task alone is not proof of a successful run.
6. Review the report and handle the inquiry
Open the latest run in Scheduled. First check its time, mailbox, date range, threads found and processed, and completeness. “Could not retrieve” does not mean “nothing to handle”. If results exceed the five-thread limit, review the remainder manually or run another explicitly scoped check.
For DRAFT, open the live thread, verify facts and any newer colleague reply, edit the text and send it yourself. Update the shared tracker with owner, next action and status. Assign NEEDS_REVIEW to the responsible person. Spot-check SKIP, particularly during the initial period.
Each scheduled run creates a separate session. This recipe has no persistent “already processed” ledger or automatic CRM writes. A person reconciles repeated reports against sources and the tracker; older open inquiries outside the seven-day window still need an owner.
If the task fails: pause and recover

In Scheduled, open the task and choose Pause. Check any run already in progress. After repairing it, run it on demand, inspect the result and only then Resume. Verify the next scheduled time. If you no longer need it, delete it in Scheduled; handle history and records under your team’s policies.

Our instructions combine documented Gmail connections and scheduled tasks. The seven-day window, five-thread cap and manual tracker are rules of this recipe, not guaranteed Claude features. Verify cloud-run availability when creating your actual task.
