
Choose an office suite around one actual engagement
A three-person team uses email, shared documents, and a calendar. A proposal table loses its formatting during handover, and a teammate starts keeping files in a personal folder. “Google Workspace or Microsoft 365?” now means several concrete questions: which file must remain usable, who needs access, and what happens when that teammate leaves.
If the team mainly works in shared browser documents and already uses Google, start by testing the existing Workspace setup. If deliverables require specific desktop Word or Excel features, first check the appropriate Microsoft license and actual files. A brand name or “Business” label cannot decide that requirement.
Download the common evaluation task and cost sheet and fictional small-team case. Fill in your observed results. This is not a completed trial of two business accounts or a recommendation to migrate email immediately.
Compare eligible plans rather than the lowest prices
Google Workspace separates Starter, Standard, and other editions. Starter lists 30 GB of pooled storage per user and Standard lists 2 TB; that capacity is shared across the organization. Microsoft 365 Business Basic lists web and mobile applications and 1 TB of cloud storage per user. Desktop applications require a plan or license that includes them. These allocation models are not interchangeable.
Record the exact offering, country, currency, tax basis, seats, and commitment for each candidate. Microsoft offers variants with and without Teams; check the relevant applications in the actual variant. Introductory discounts are not permanent monthly prices. Include AI features only when they serve the task.
Use a quote for your account and market as the cost input. One headline dollar amount could hide a commitment, promotion, or different configuration.
Run the same work through both options
Use a fictional client and harmless files. In each available configuration:
- Prepare a proposal containing a table and export the format the client requires. Check layout, formulas, and needed edits.
- Invite your own second test account as an external recipient to a chosen file. Check editing and removal of access.
- Arrange one appointment and check conflicts, time-zone display, and cancellation.
- Save the handover material in a team location and have a second teammate open it.
Record the specific reason for a failed step: unavailable feature, administrator setting, changed formatting, or unclear permissions. “Microsoft is complicated” and “Google cannot handle files” are not observed results.
Include access and booking in the decision
OneDrive sharing depends on link type, account, and organizational settings. Set the intended recipient and permission for the test file; a broad link should not replace resolving access. Apply the same expectation to the other environment. Team materials should remain available under team access rules rather than depending on one colleague’s personal account.
Microsoft Bookings or Google Calendar appointment scheduling may fit the booking step. Verify licensing and administrator settings. An included application does not establish that it checks every required calendar.
Separate migration effort from subscription cost
The fictional three-person team compares three seats over twelve months in one currency and tax basis. Add initial preparation and transfer, template repairs, teammate orientation, and ongoing review. Mark any overlap during which both environments are paid. The download invents no market prices for those inputs. Record cash and staff hours separately. Annual cash = 12 × seats × monthly license + paid setup, migration, repairs and operation + additional overlap with the old subscription. Convert annual license quotes to the same basis first; do not count the old environment twice. Convert hours to money only using an explicit chosen rate, without recounting work already included in supplier invoices.
If a small configuration repair lets the existing suite complete all required steps, include that option. If one essential document fails, investigate an appropriate desktop license or revised handover before moving the whole company. Treat the need for a project application separately from email and documents.
After choosing, prepare a limited pilot and a recovery route. Domain changes, email cutover, and bulk file transfer are outside this initial test. First establish that actual work and access succeed. Check the subsequent handover with the agreement-to-start workflow.
Choose the next step from the observed gap
If the work a new suite should improve is unclear, begin with the problem of adding tools without simplifying work. Use the client-file access check for failed sharing and the ownership handover procedure for administration continuity. Use the software-cost review for growing subscriptions. This choice needs concrete trials and a team decision; no separate AI agent or automation is necessary.
