From delivered work to paid invoice

The work is delivered, but the money has not arrived. You still need to issue the right invoice, track its due date, and confirm whether the client paid in full. Set up a list that separates work waiting to be invoiced from invoices waiting for payment.

A factual outstanding-balance reminder

Turn delivery into a billing handover

Link the agreed milestone, delivery evidence and billing approval. The responsible owner decides whether an invoice can be issued under the actual agreement. Make deposits, scope changes and held work visible before someone copies an amount.

Issue the document through your accounting or invoicing system. This control sheet is neither an invoice nor an accounting ledger. It needs the document reference, currency, link, due date and person responsible for the next action.

Payment needs a match

Match the payment reference, amount, currency and customer to a specific document. An equal amount may belong to a different invoice. Keep partial payment distinct from payment in full; do not automatically close the difference. Assign ambiguous matches and leave the balance for verification.

Before a reminder, recheck the accounting system: a new payment, credit, dispute or recipient change may invalidate the plan. If message delivery is uncertain, find the sent result before deciding whether to retry.

A factual message about one invoice

Message draft: “Hello, following our check at [time], invoice [reference], due [date], shows an outstanding balance of [amount, currency]. If payment is already on its way or something needs resolving, please let us know.” Replace the placeholders with actual information. Do not add fees, penalties or legal action without an appropriate basis.

Filled example

Fictional example to explain the process, not a real client record.

Example: an invoice totals 1,000 currency units and a matched payment covers 600. The remaining balance is 400, not another invoice for 1,000. The client also disputes part of the delivery, so the owner pauses the reminder to resolve it. This illustrates operating states, not accounting entries.
